NORTH AMERICA RECRUITING DATA POLICY

Policy Statement


This Recruiting Data Policy governs the collection and processing of personal information provided by applicants and referred candidates to ensure full alignment with U.S. state privacy frameworks and Canadian federal and provincial standards (PIPEDA and Quebec's Law 25).

 

Engagement Models


We collect information necessary to evaluate your candidacy, which may include:

  • Contact Information: Name, address, email, and phone number.

  • Professional History: Resume/CV, cover letter, work experience, and education.

  • Referral Data: If you were referred, we collect the name and relationship of the person who referred you.

  • Sensitive Information: Where permitted by law (e.g., US EEO monitoring or Canadian Employment Equity), you may voluntarily provide demographic data.


How We Use Your Data & Data Sharing


Your data is used strictly for recruitment and employment purposes:

  • Assessing your fit for the role applied for or other open positions.

  • Verifying references and conducting background checks (consistent with local laws).

  • Communicating with you regarding the recruitment process.

We do not sell your personal information. Your data may be shared with:

Service Providers: Third-party platforms (ATS, background check providers) that comply with our privacy standards.

 

Data Retention


We retain candidate data only as long as necessary:

US: Records are generally kept for 1–3 years to comply with EEOC regulations.

Canada: Data is retained for a reasonable period to fulfill the recruitment purpose or as required by provincial labor laws, after which it is anonymized or destroyed.

 

Your Rights


Depending on your location, you may have the right to:

  • Access: Request a copy of the personal data we hold about you.

  • Correction: Ask us to update or fix inaccurate information.

  • Deletion: Request that we delete your data (subject to legal retention requirements).

  • Inquiries: Canadian residents may contact our Privacy Officer regarding compliance with PIPEDA/Law 25.
