Global Digital Services Company Streamlines Work Processes with Enterprise Agility Initiative

Overview: Strategy and execution go hand in hand

A digital business services & printing solutions provider embarked on a comprehensive enterprise agility evolution to shift from traditional waterfall methodologies to modern agile practices. With over 300 people across multiple divisions, the client needed to improve execution visibility, enhance cross-domain reporting, and establish clear connections between strategic initiatives and operational delivery.

After partnering with Praecipio, they launched a multi-phase enterprise agility initiative that integrated advanced planning tools, comprehensive training programs, and intensive coaching to rework their software development and product management capabilities across their organization.

Challenge: Legacy Systems Stall Scalability

The client’s HSPC (Hardware and Software Product Center) division faced several critical challenges that hindered their ability to deliver value efficiently:

Waterfall to Agile Transition: The organization was transitioning from waterfall to scrum methodologies but lacked the structure, processes, and tools needed to execute agile practices effectively across their 300-person operation.

Execution Visibility Gap: Despite implementing various technologies, the HSPC division could not effectively aggregate execution data or clearly articulate progress against key business outcomes to stakeholders and leadership.

Strategic Disconnect: The organization struggled to connect strategic initiatives with day-to-day execution, making it difficult to demonstrate business value and ensure teams were working on the highest priority items.

Cross-Domain Reporting Challenges: Multiple teams and domains operated in silos, preventing effective coordination and visibility into dependencies, risks, and overall portfolio health.

Scaling Agile Practices: While some teams had adopted agile practices, the organization lacked a consistent framework and supporting technology platform to scale these practices enterprise-wide.

Tool Consolidation Needs: Legacy systems including Redmine, Subversion, ServiceNow, and TestRail created fragmentation and inefficiencies that hindered collaboration and reporting.

Solution: Swap Silos For Synergy

Praecipio implemented a comprehensive Enterprise Agility solution using their proven people-first approach combined with advanced Atlassian tooling.

Phase 1: Foundation and Tool Implementation

Jira Align Enterprise Implementation:
Jira Align was deployed as the enterprise agility planning platform, integrating it seamlessly with existing Jira Software instances to provide end-to-end visibility from strategy to execution.

Process Assessment and Roadmap: Praecipio conducted a comprehensive 4-week assessment of existing processes, tools, and organizational structure, delivering detailed recommendations and implementation roadmap prioritized by business impact.

Tool Consolidation Strategy: A migration plan was developed for legacy systems including a Redmine to Jira Software migration, a Subversion to Git/GitLab integration, a ServiceNow integration with Jira Service Management, and a TestRail consolidation into unified testing workflows.

Phase 2: Agile Framework Implementation

Program-Level Configuration
Jira Align was configured to support up to two programs with 20 teams maximum, establishing program and team-level visibility into execution data, planning ceremony frameworks with automated data aggregation, and predictability metrics for contractual commitments.

Training and Enablement
Praecipio delivered comprehensive training programs including an introduction to Jira Align for all users, a pre-PI Planning for Product Managers and Product Owners, a PI Planning facilitation training for Release Train Engineers and Scrum Masters, and a PI Execution and Closure processes training.

Phase 3: Transformation Coaching and Change Management

Intensive Coaching Program
Praecipio provided a number of dedicated coaching resources for program-level coaches responsible for strategic alignment and process optimization, team-level coaches focusing on agile practices and ceremonies, and executive leadership training including SAFe® certification courses.

Cultural Remodel
Training was not the only new element introduced. This agile transformation was also a cultural win as it required a mindset shift relating to Agile culture development and gap identification, process and framework improvements that align with business objectives, and technology adoption and optimization.

Phase 4: Continuous Improvement and Expansion

Ongoing Support and Optimization
Sustainable practices were established for our client by upholding Planning Interval support for multiple quarterly cycles, holding office hours and consultations, and revisiting performance optimization.

Results: Demand Capacity Planning Improves Predictability

The Enterprise Agility Initiative delivered monumental improvements across the client’s operations by creating clear "steel thread" connections from strategic objectives through portfolio epics to team-level execution, enabling data-driven prioritization and resource allocation. Our client was also able to achieve 90th percentile predictability in team delivery commitments through standardized planning processes and real-time visibility into capacity and performance metrics.

Operational efficiency gains helped streamline processes, eliminate tool fragmentation, and reduce overhead while leadership was able to see real-time dashboards and reporting capabilities that enabled informed decision-making about resource allocation, strategic pivots, and business commitments.

This engagement was also a cultural win. Our client was able to successfully shift organizational mindset from traditional waterfall thinking to agile principles, with measurable improvements in team satisfaction and engagement.
